Instructions for Group Leaders
Enrolling Learners into Your Group
As a Group Leader, you are responsible for enrolling your team members in their learning program. The process is simple, structured, and designed to give you full control without needing assistance from The Change Gym. Everything happens through the front‑end Group Management interface.
1. Accessing Your Group Management Page
When you log in, you will see a menu item called Group Management. This is your operational space. It shows the groups you lead, the courses attached to those groups, and the tools you use to enrol and monitor your learners.
Click the group you wish to manage. You will be taken to the group dashboard, where you can see current members, progress, and enrolment options.
2. Adding a New Learner
Inside the group dashboard, you will see an option labelled Enrol Learner (or Enrol New User, depending on your configuration). This is where you add new members to your group.
When you enter a learner’s name and email address, the system checks whether they already exist. If they do not, it automatically creates a new account for them, assigns the correct role, and enrols them into your group and its courses. You do not need to create accounts manually. The system handles the entire chain.
3. Enrolling Existing Users
If the learner already has an account on the site, you can enrol them directly. The system will recognise their details and attach them to your group without creating a duplicate account.
4. What Happens After Enrolment
Once a learner is enrolled:
They receive an email with their login details (for new users).
They gain access to all courses attached to your group.
Their progress becomes visible to you in the reporting dashboard.
You do not need to manage passwords, permissions, or course access. The system handles all of this.
5. Monitoring Learner Progress
Your Group Management page includes a reporting section. Here you can see:
Which learners have started their courses
Their current progress
Their completion status
This gives you a clear view of your team’s development and readiness.
6. Removing Learners
If someone leaves your team or no longer requires access, you can remove them from the group. This does not delete their account; it simply detaches them from your group and its courses.
7. Support
If you encounter any issues, contact your organisational administrator or The Change Gym support team. Most enrolment tasks can be handled directly through your Group Management page, but help is available if needed.
